Solution

The project had an implementation deadline of 2 days to achieve the following:

  • separate over 200 thousand certified mail receipts
  • index and extract receipt numbers

The client, a national mail services provider, processes over 200,000 certified mail delivery receipts annually. Each receipt contains a unique tracking number, which is essential for regulatory compliance, delivery confirmation, and internal audit processes.

Historically, the client's back-office team manually reviewed each receipt, separated it from scanned batch files, and renamed the digital file using the receipt number. This workflow was:

  • Labor-intensive and error-prone, with inconsistencies in file naming affecting document traceability
  • Time-consuming, creating a bottleneck in downstream tracking and archival systems
  • Difficult to scale, particularly during seasonal spikes or service expansions

To meet the 2 day deployment timeline and accuracy requirements, our team customized a solution specifically for high-volume mail receipt workflows. The solution included:

  1. Automated Document Separation
    • Leveraged intelligent layout detection and rule-based triggers to separate individual receipts from large scanned batches, regardless of input quality or length.
    • Optimized for high-speed batch processing without sacrificing precision.
  2. Receipt Number Extraction Using OCR and Pattern Matching
    • Applied advanced Optical Character Recognition (OCR) trained on a variety of certified mail receipt formats.
    • Combined with regex-based logic to detect and extract 20-digit tracking numbers with near-perfect accuracy.
  3. Automated File Renaming and Export
    • Each separated receipt was renamed using the extracted tracking number and exported to the client’s archive system, maintaining file-naming conventions and document traceability across departments.
  4. Scalable Cloud Infrastructure
    • The entire workflow was hosted in the cloud, ensuring rapid deployment and on-demand scalability to meet fluctuations in volume.
